Every venue's sales, pacing and scorecard in one place

WhirlyBall runs entertainment venues with restaurants and event sales. Sales lived in a hand-built workbook, marketing reports were built by hand, and the restaurant accounting sat in a separate system.

Who did the work

Our team with theirs, over eight fine-tuning rounds

First full set of dashboards

Two weeks after kickoff

Connected

Toast, Tripleseat, Restaurant365, Meta Ads and GA4

“This is going to give ops a look into the business they've never had.”

Before and after

Sales numbers

Before

Sales performance lived in an Excel workbook with hand-made formulas, pulled every week.

After

Sales dashboards for each venue team, refreshed on their own. The first ones were live 11 days after kickoff.

The weekly sales meeting

Before

Each sales manager brought their own report.

After

One combined meeting runs from the dashboard: booked events and revenue by venue, against last year.

How the period is going

Before

Nobody knew how a period went until it closed.

After

The ops lead reads the result from the pacing dashboard the night before: up, and by how much.

The middle of the P&L

Before

Restaurant accounting sat apart from sales and events.

After

Restaurant365 joins Toast and event bookings on a Northstar scorecard that gives ops a view it never had.

What we built

Sales dashboards by venue

Booked events, revenue and pacing for each venue team, with a leaderboard.

A Northstar scorecard

Sales, food and beverage, and restaurant accounting on one page for operations.

Their own edits

Between calls the team changes dashboards by asking the assistant.
